Safeguarding Policy
Last updated: October 17, 2026 · Version 2.0 · Operated by EDUVIXA NIGERIA LTD
1. Our commitment
EDUVIXA NIGERIA LTD (“EduVixa”) is committed to the safety and welfare of every learner, and above all of children — anyone under 18. This policy sets out how we reduce the risk of harm on the Platform, what we expect of tutors, guardians and learners, how to report a concern, and what we do when we receive one. It follows the principles of the Child’s Rights Act 2003 and equivalent state laws, and the Nigeria Data Protection Act 2023 where children’s data is involved.
It applies to everyone on the Platform: tutors, parents and guardians, learners, and EduVixa staff and contractors. Adults at risk — for example adult learners who may be vulnerable because of disability, age or circumstances — are protected in the same way.
Emergency? If someone is in immediate danger, contact the emergency services first (in Nigeria, dial 112), then tell us.
2. How EduVixa is designed to protect children
- No child accounts. Children do not create or sign in to accounts. A parent or legal guardian aged 18+ manages a limited learner profile (a nickname and an age range only) and books lessons through their own account. Guardians confirm their relationship and give recorded consent.
- Reviewed tutors. Every tutor applies and is reviewed before their profile is visible. We verify identity using government-issued ID, review stated qualifications, and every tutor agrees to the Tutor Code of Conduct and this policy when they apply — including a duty to tell us about any conviction or investigation relevant to working with children.
- What verification is — and is not. Our checks confirm identity and review credentials. They are not a criminal-record check and are not a guarantee of any person’s suitability. For tutors who teach under-18s, we may request further checks, such as a police character certificate, where the law allows. Safeguarding therefore also depends on the rules and supervision described below.
- Everything stays on the Platform. Lessons, messages and payments happen inside EduVixa, so there is a record that we can review when a concern is reported. Tutors are prohibited from contacting learners or guardians elsewhere.
- Reporting built in. Learners and guardians can report a tutor from the tutor’s profile or through Support. Reports about harassment or unsafe behaviour are classed as urgent and prioritised.
- Data protection. We collect the minimum about children, never use it for marketing or profiling, and keep identity documents in private storage (see the Privacy Policy).
3. What we ask of parents and guardians
You know your child best, and your supervision is the most important safeguard. Please:
- Be present or close by. For learners aged 5–12, an adult should be in the room or immediately available for the whole lesson. For ages 13–17, an adult should know when lessons take place and be within reach. Use a shared, open space — not a bedroom with the door closed.
- Use your account for all communication with the tutor, and keep it that way. Do not give a tutor your child’s phone number, social-media handles, address or school, and do not accept requests to move to another app.
- Tell your child that lessons are about learning, that they should never keep secrets from you, and that they should tell you straight away if anything makes them uncomfortable. Agree a simple way for them to end a lesson at any time.
- Agree to any recording first. A tutor must have your prior agreement to record a lesson with your child. Tell us if a tutor records without asking.
- Report anything that worries you, even if you are not sure. You will not be in trouble for reporting in good faith.
Signs a tutor may be crossing a line
- Asks to talk, call or pay outside EduVixa, or asks you or your child to keep something secret;
- Gives gifts, money or special treatment, or is overly familiar or flattering;
- Asks for photos, personal details, or to be alone with a child, or makes sexual or inappropriate comments;
- Records or photographs a child without permission, or asks the child to turn off the camera or leave the room.
4. What we require of tutors
Every tutor agrees to the Tutor Code of Conduct, which is part of their contract with us. The key safeguarding rules are:
- Communicate only through EduVixa’s messaging and lesson tools. Never exchange personal contact details or connect on social media with a learner or guardian.
- Never be alone with a child outside the Platform, meet a learner in person through EduVixa, give gifts, or ask a child for personal information.
- Teach only in a suitable, professional setting, appropriately dressed, with an appropriate background; end any lesson that becomes inappropriate.
- Do not record, screenshot or photograph a lesson except through EduVixa’s recording control, with prior notice to the learner or guardian and, for a child, the guardian’s prior agreement. Never share images or recordings of a child.
- Report any safeguarding concern — about yourself, another tutor, a learner or a guardian — to us immediately, and in any case within 24 hours.
- Tell us at once if you are arrested, charged or convicted of an offence involving children, violence, sexual misconduct or dishonesty, or if you become subject to a regulatory or professional investigation about conduct.
Tutors found to have breached these rules may be suspended or removed, reported to the authorities, and barred from re-registering.
5. Safe lessons for learners
- Learners should only use EduVixa’s lesson room, and should not share their full name, address, school, phone number or photographs with anyone.
- Learners can leave a lesson at any time. They will never be in trouble for doing so.
- Learners should tell their parent or guardian — or a trusted adult — if a tutor or anyone else makes them feel uncomfortable, asks them to keep a secret, or asks to talk somewhere else.
6. How to report a concern
- In the app: use Report on the tutor’s profile (choose “Harassment or unsafe behavior”), or open a ticket in Support.
- By email: safeguarding@eduvixa.com. This reaches our Designated Safeguarding Lead (the senior person responsible for child safety on the Platform) and their deputy.
- Outside the Platform: you may always report directly to the Nigeria Police Force or to the child-protection authorities in your state. You do not need our permission, and you do not need to wait for us.
Please include what happened, when, who was involved, and any lesson or message details. Don’t investigate it yourself, and don’t confront the person. If you are a child, you can ask a trusted adult to report for you.
We take every report seriously, including anonymous ones (though we may not be able to update you), and we protect people who report in good faith from retaliation.
7. What happens next
| Step | What we do |
|---|---|
| Acknowledge | We acknowledge reports as quickly as we can. Reports involving a possible risk to a child are treated as urgent and are normally reviewed by a senior member of our team within 24 hours. |
| Protect | If there is a risk, we act first and investigate second: we may immediately suspend the tutor, hide their profile, cancel upcoming lessons with the affected learner, and pause payouts. Affected guardians are offered a refund or credit (see the Refund Policy). |
| Preserve | We secure the relevant messages, lesson records and account data so that evidence is not lost. Records are kept as described in the Privacy Policy (${R.safeguardingYears} years for safeguarding records). |
| Investigate | We review the evidence, and give the person concerned a fair chance to respond, unless doing so could put someone at risk or interfere with a police investigation. |
| Refer | Where a child may have been harmed or is at risk, or a crime may have been committed, we report to the appropriate authorities and cooperate with their enquiries. We share only the information that is necessary and lawful. |
| Decide | Outcomes range from guidance or a warning, to suspension, to permanent removal and a bar on re-registering. We tell the person who reported what we can, bearing in mind confidentiality and legal limits. |
| Learn | We review serious cases to improve our rules and tools. |
8. Confidentiality and fairness
Safeguarding information is shared on a need-to-know basis. Child safety comes first: we may share information without consent where that is necessary to protect a child, as the law permits. At the same time, we aim to be fair — an allegation is not a finding, and we will not publicly name anyone who is under investigation.
9. Responsibility and review
EduVixa’s leadership is responsible for this policy. We have a Designated Safeguarding Lead and a deputy, reachable at safeguarding@eduvixa.com. All staff who can access learner data or handle reports are told about this policy and their duty to escalate concerns. We review this policy at least once a year and after any serious incident, and publish the updated version here.
